This policy covers the Las VeGays website, event submissions, contact messages, fan-queue requests, and the first merch-drop support flow. Square checkout, social platforms, email providers, and other third-party services may also apply their own privacy terms when you use them.
Information We Collect
- Basic site signals such as page views, traffic source, approximate device/browser details, clicks, scroll behavior, and error or performance signals when analytics are accepted.
- Information you choose to submit through forms, including event details, contact messages, fan-queue requests, name, email address, ZIP code, quantity, and any message or source links you provide.
- Operational records we need to review submissions, reply to support questions, prevent spam or abuse, and follow up when a queue request or event submission needs action.
Crew Interest List and Trip Notifications
The Barcelona → Rome 2027 crew form on our trip page (“Join the crew for this sailing”) feeds one private interest list. Here is what that means for you.
What we collect
- First name, last name, and email address.
- ZIP or postal code, and a phone number if you choose to give one.
- Whether you've booked, are planning to, want to join the room block, or are just curious, if you tell us.
- Which trip or list you asked about, and whether you would like the pocket guide by email.
- Your consent and 18-or-older confirmations, plus the date and time you signed up.
Why we collect it
Booking for the sailing is open, and it is with Atlantis, not us. We use this to contact you about the trip (port guides and group plans) and with Las VeGays crew updates, to send you the pocket guide if you asked for it, and to invite you into a private Las VeGays crew community.
Where it is kept
It is kept on Las VeGays' own WordPress site, in a private record. Only Las VeGays administrators can see it, and rows are reviewed by hand.
Who else sees it
Nobody — we do not sell this information to anyone. When you are invited into a private Las VeGays crew community, it receives only your email address, first name, your interest, and the date you consented. It never receives your phone number.
How long we keep it
Up to 24 months after the trip ends. After that, your record is deleted.
Your choices
Email info@lasvegays.com to see, correct, or delete your record. Unsubscribing from pocket-guide emails takes one reply.

This list is for people 18 and older only.
Las VeGays Socials
When you sign up for a Social, we collect your first and last name and email address. You can also choose to give us a ZIP code, a phone number, how long you have been in Vegas, and where you are originally from. If you tick the box to get text reminders, we also save that choice and the time you made it; we do not send texts yet. When you make your name tag, we save the name you want printed on it, whether it shows your full name or just your go-by name, your icebreaker if you add one, whether you want a Social card (it is optional), and what you want shown on your name tag and card (the icebreaker is optional, and you can change it any time before the Social).
We use this to run the event, print name tags, and send you a few emails from Prism, our colorful site helper: your invite, one reminder, and confirmations about your spot. We do not sell your information and we do not use it for ads. If we ever run a survey, it will come with its own notice.
It is kept in WordPress (in a form-entry tool called Flamingo) on our own web host, and only the Las VeGays team can see it. Your sign-up becomes part of your Las VeGays community profile, which we keep as our digital community grows, including if it moves to a platform that runs our community for us. It stays until you ask us to remove it. If you would like your information removed sooner, or want to see what we have, email info@lasvegays.com and we will take care of it.
How We Use It
We use the information we collect to run the site, review event submissions, maintain the event and community directory, answer messages, manage the first fan queue, prevent spam, improve the browsing experience, and document operational or legal needs tied to Las VeGays.
We do not sell personal information. We do not use submitted event, contact, or fan-queue information to train AI models. We do not run ad pixels, retargeting, or paid-audience sharing for this preliminary launch.
Cookies and Analytics
Las VeGays uses essential storage to remember whether you accepted or declined analytics. Optional privacy-conscious analytics tools are loaded only after analytics are accepted, and help us understand aggregate behavior such as page views, traffic sources, clicks, scroll depth, page friction, and file downloads. Public forms are marked for masking where analytics tools support it, and ad pixels or retargeting are not active.
You can decline analytics from the notice or reopen the choice from the footer. If tracking expands beyond this posture, we will update this policy before activating the expansion.
Email and Message Retention
For this preliminary launch, Las VeGays uses an 18-month active retention default for support, contact, event-submission, and fan-queue email records, followed by a 5-year archived retention period when records may be needed for audit, dispute, operations, or legal reasons.
We may keep some records longer if required by law, needed to resolve a dispute, tied to a payment/refund record, or necessary to protect the site and community. Future account data, Square payment records, and WordPress database records may need separate lifecycle rules before account features or checkout go live.
Shop Lite and Refund Records
The first fan drop is queue-first: this site does not collect payment, billing address, or shipping address on the queue page. When Square checkout opens, Square will handle payment data under Square terms. Las VeGays may keep order, support, damage, replacement, refund, and return-shipping messages needed to complete and document the order.
Your Choices
You can ask us to correct, review, or delete information you submitted by contacting info@lasvegays.com. Some records may need to be retained for legal, safety, payment, dispute, or operational reasons.
